Business Operations Associate
Position Overview
We are seeking a detail-oriented and highly organized Business Operations Coordinator to support our client onboarding and application workflow. This role is responsible for preparing, reviewing, and processing client applications accurately and efficiently while ensuring a smooth and professional experience for both clients and advisors.
The ideal candidate thrives in a fast-paced environment, values precision, and takes ownership of tasks from start to finish.
Key Responsibilities
- Application Processing & Accuracy:
- Prepare, review, and submit client applications with a high level of accuracy
- Verify completeness of all required documentation and follow up on missing information
- Identify discrepancies or inconsistencies and resolve them proactively
- Ensure all submissions meet internal standards and external compliance requirements
- Workflow & Case Management:
- Manage multiple client cases at various stages of the process
- Track application status and proactively move cases forward
- Prioritize tasks based on urgency, deadlines, and advisor/client needs
- Maintain organized and up-to-date records in CRM and internal systems
- Client & Advisor Support:
- Communicate clearly and professionally with clients, advisors, and internal team members
- Request and follow up on outstanding information in a timely manner
- Provide updates on application status and set clear expectations
- Support advisors with case preparation and documentation
- Compliance & Confidentiality:
- Handle sensitive client information with the highest level of confidentiality
- Ensure adherence to company policies and regulatory requirements
- Maintain accurate and complete documentation for audit readiness
- Process Improvement:
- Identify inefficiencies or recurring issues in workflows
- Recommend and implement improvements to increase accuracy and efficiency
- Contribute to a culture of continuous improvement and operational excellence
Qualifications
- Bachelor’s degree in Finance, Accounting, or Business Administration preferred or equivalent work experience
- 1–3+ years in operations, administrative support, or application processing (financial services experience a plus)
- Strong attention to detail and accuracy
- Excellent organizational and time management skills
- Strong written and verbal communication skills
- Ability to manage multiple priorities and meet deadlines
- Proficiency in CRM systems and Microsoft Office (Excel, Outlook, Word)
Compensation
