Program Data Coordinator

Position Title: Program Data Coordinator

Minimum Education/Experience: Bachelor’s degree or 3–4 years of relevant work experience. Experience with Salesforce or similar CRMs, Excel/Google Sheets, data management, customer engagement platforms, survey administration, and/or nonprofit program operations is a plus.

Your mission: Be the data management and reporting engine that helps Compass Pro Bono collect, understand, improve, and maintain program data so we can deliver consistently high-quality programs and communicate their impact across all regions.

This role is part Salesforce and Google Sheets power user, part data cleaner, part Salesforce dashboard builder, part volunteer and nonprofit engagement platform administrator, part survey coordinator, and part program operations support.

To be successful in this role, you must be eager to improve the accuracy, usability, and visibility of program data; comfortable troubleshooting systems and user issues; able to balance recurring data tasks with urgent internal requests; interested in using reports, dashboards, surveys, and impact materials to help staff make stronger program decisions; and at ease in a fast-paced, business tech-saturated work environment.

The position may be based in any of the metro regions Compass currently serves: Washington, DC; Minneapolis-St. Paul, MN; Philadelphia, PA; New York, NY; or Chicago, IL. If in DC, the Program Data Coordinator will work at least 2–3 days per week in person from the Compass Pro Bono headquarters in DC, and work the rest of the time remotely. If in one of the other regions, the Program Data Coordinator will primarily work remotely with occasional in-person meetings with other staff and events in their region, and will be expected to travel to DC at least twice/year for all-hands retreats.

The Program Data Coordinator will report to Compass Pro Bono’s Program Data Manager and work closely with the Program Operations team and program staff across all Compass Pro Bono regions.

Responsibilities

The Program Data Coordinator is responsible for helping ensure high-quality delivery of Compass Pro Bono programs across all regions by maintaining accurate program data, improving reporting tools, supporting engagement platform administration, assisting with surveys, and creating impact materials. The position is part of the national team and supports program staff across Compass Pro Bono’s cities. Specific responsibilities include:

Salesforce Data Hygiene

  • Troubleshoot program record issues, such as merging duplicate records, deleting duplicate applications, and updating record details as requested
  • Perform archival work to locate historical program data that is not currently in Salesforce, prepare it to be uploaded to Salesforce for trend and historical analysis, implement the upload, and conduct post-upload data audit/cleaning as needed
  • Clean up old Salesforce records so they adhere to Compass Pro Bono’s current format and can be used for reporting and analysis
  • Organize, categorize, and archive Salesforce reports into a clean, intuitive folder structure with standardized naming conventions
  • Support the Program Data Manager in maintaining Salesforce data quality standards across all program areas

Program Data Visualization and Reporting

  • Set up, iterate, and maintain Salesforce reports that allow for real-time sorting of volunteer and nonprofit data
  • Create and update interactive Salesforce dashboards and graphical reports to track year-over-year trends, program activity, and impact data
  • Identify high-use reports and optimize them so they are more accessible and tailored to specific annual program cycles
  • Actively promote and boost the visibility of core Salesforce reports and dashboards to program staff to support data-informed decision-making
  • Help program leadership and city teams access timely, accurate program data for planning, program management, and organizational learning

Customer Engagement Platform Maintenance and User Administration

  • Troubleshoot and resolve first-level user access issues, account errors, and login inquiries for volunteers and nonprofits
  • Maintain engagement platform content to ensure that it is up-to-date and reflective of key program information
  • Periodically identify and deactivate old or defunct portal accounts to streamline reporting accuracy and maintain an up-to-date registry of active partners and volunteers
  • Replace asynchronous training modules with new content as requested by program leadership and archive out-of-date trainings as needed
  • Monitor, analyze, and maintain comprehensive records of fiscal year completion rates for all volunteer and board candidate asynchronous training modules
  • Maintain and optimize the Golub Capital Board Fellows portal site, updating user resources and profiles to reflect current board fellow alumni data

Survey Administration and Impact Materials

  • Manage the technical setup and automated distribution of client and volunteer surveys using SurveyMonkey, including the end-of-project survey and follow-up surveys designed to capture long-term impact
  • Assist in gathering, organizing, and preparing data for the creation of partner impact statements each year
  • Synthesize and provide precise program metrics and impact statistics for general marketing and communications, fundraising, grant applications, and Compass Pro Bono’s broader value proposition

Qualifications

  • Detail-oriented and data-minded, able to spot inconsistencies and maintain accuracy across multiple systems and reports
  • Technologically confident, comfortable using or quickly learning business tech systems, including Salesforce, Magentrix, SurveyMonkey, Google Suite, Slack, and related program management tools
  • Organized and reliable, able to balance recurring data maintenance, reporting deadlines, and ad hoc internal requests without losing track of details
  • Analytical and curious, interested in using data to understand program trends, improve operations, and support stronger decision-making
  • Customer-service-minded, able to troubleshoot user issues clearly and patiently for staff, volunteers, nonprofit partners, and board candidates
  • Collaborative and communicative, works well with colleagues across departments and cities and can translate data or systems issues into clear next steps
  • Adaptable and eager to learn, comfortable shifting between Salesforce work, portal administration, survey support, reporting, and impact data projects in a fast-paced environment
  • Mission- and quality-minded, understands that accurate program data strengthens Compass Pro Bono’s ability to serve nonprofits, support volunteers, and communicate impact

Compensation

$45,000 salary + full benefits. Compass Pro Bono’s current benefits include: schedule flexibility; a generous paid leave package that includes flexible PTO, several mental health days and at least one week/year during which the entire organization closes so that all employees can enjoy a true mental health break; medical, dental and vision benefits; a 401K plan with a 1% employer contribution; and employer-funded short- and long-term disability insurance.
